  • HCYS18 = YES to the Host Committee

  • Code both the main account AND the partner account if applicable
  • Email Sarah if someone does not want to serve on the HC

RSVPS

  • The attendee list will exist solely in Salesforce
    • This allows for real-time registration metrics
    • This significantly reduces the time & effort previously required to maintain the spreadsheet

    • Use Ctrl + F to search for a particular name
    • Export to excel and sort by Booking Name to easily see those registered as a group
  • HERE is the report of those that have reserved additional seats
    • An easy way to see who is part of the block: right-click the EB#, open the link in a new tab, scroll down to the event registration section to view names

REGISTRATION
  • Staff can process individual registrations via credit card - $300
    • Refer to the staff training folder for instructions
  • Club Members can access their $200 discounted rate through their personalized event invitation links OR through staff
    • Club members are able to register two people at the $200 rate
    • Club members who are purchasing additional seats at the $200 rate can do so through you with promo code: CLUBGUEST18
    • This promo code is internal and can only be used by staff
    • Refer to the staff training folder for instructions
  • SC+ members can be registered by Arielle
    • Email names and account numbers
    • Include # of complimentary seats they intend to fill
  • You must enter Guests into Salesforce
    • Deadline for guest names is: April 9, 2018
    • Obtain their name, address, email, and synagogue affiliation
    • Once entered into Salesforce, email Arielle to register
    • Include the account number(s) in your email
    • Continuously follow up with those holding extra seats to obtain their guest names and information
  • You must mark NOs as DECLINED
    • Refer to the staff training folder for instructions
    • Marking someone a "NO" removes them from our marketing emails; thus ensuring we don't annoy them
  • HERE is the report of those marked declined or inactive (cancelled)

RECRUITMENT
  • HERE is a report of 500+ not yet registered for recruitment purposes

SEATING

  • All seating requests should be emailed to Danielle
  • The seating will be done via the seating platform in Salesforce

STUDENTS
  • 100 local students will be recruited to attend for free
  • We'll ask them to volunteer in exchange for their free seat although volunteering is not mandatory
  • Those that agree to volunteer will need to arrive early
  • Volunteer roles include: registration, greeter/director, seat ushers, etc
  • Recruitment will mostly be handled from here and we'll reach out to Gann, Maimonides, Lappin Foundation, etc
  • Club members may also have students that wish to volunteer/attend
  • College students will be recruited through Leadership Development

DEADLINES

  • To be listed on the printed invitation: February 23, 2018
  • Refund deadline: April 2, 2018
  • To be listed on the printed program: April 6, 2017
  • Guest name deadline: April 9, 2018
